The simple rule
For most events, plan on one bartender for every 50 guests. This keeps service smooth without overspending.
When to add more bartenders
- Full cocktail service: Hand-crafted cocktails take longer than beer and wine. Bump up to one bartender per 35–40 guests.
- A single big rush: Weddings often have a post-ceremony rush. An extra bartender keeps cocktail hour flowing.
- Multiple bar stations: Spreading out bars across a large venue helps, but each station needs its own bartender.
Quick reference chart
- 25–50 guests: 1 bartender
- 50–100 guests: 2 bartenders
- 100–150 guests: 3 bartenders
- 150–200 guests: 4 bartenders
